Doctor Notes is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and protect your information when you use the Doctor Notes mobile application and related services (the “Service”). By using Doctor Notes, you agree to the terms outlined in this Policy.

What Information We Collect

• Account Information: Your name, email address, and login credentials when you create an account.
• Recordings and Transcripts: Audio recordings you upload or create in the Service, transcripts generated from those recordings, and AI-generated summaries or insights based on that content.
• Usage and Analytics: We use tools such as Firebase, Google Analytics, and Sentry to collect information about app usage and performance (for example, app crashes, time spent in the app, and feature usage). This helps us improve functionality and reliability.
• Payment Information (Doctor Notes+): If you purchase a paid membership, payments are processed by our payment provider (for example, Stripe). We do not store your full payment card number.
• Support Communications: If you contact us for help or send feedback, we may retain that information to respond and improve the Service.

How We Use Your Information

We do not use your information for advertising or promotional targeting.

Your Rights and Control

You control your data. You may request to:

• Correct inaccurate information
• Delete your account and associated data

If your deletion request is confirmed, we will permanently delete your account and associated recordings, transcripts, and stored files from our systems and storage providers, subject to any limited backups required for security, legal, or operational purposes described in this Policy.

We do not sell your personal information.

We may share your information with third-party service providers that help us operate the Service (for example, transcription, analytics, error monitoring, payment processing, and cloud services). These providers are permitted to use your information only to perform services for us.

We do not share your personal information for third-party advertising or promotional targeting.

Data Storage and Security

Doctor Notes is not a HIPAA-compliant platform. We use third-party service providers to operate and improve the Service. Your recordings, transcripts, and related files may be stored and processed using third-party cloud services (for example, Google Workspace) and other vendors we use to provide the Service.

We use commercially reasonable security measures designed to protect your information, including encryption in transit and at rest where supported by our systems and providers. No system is 100% secure, and we cannot guarantee absolute security.

Data Breach Notification

If your personal information is involved in a data breach, we will notify you as required by applicable law, including details and recommended next steps.

Cookies and Tracking

Doctor Notes does not use cookies to track you across third-party websites. While we use analytics tools to understand app performance, we do not sell or share that data for advertising. We do not respond to browser “Do Not Track” signals.

Children’s Privacy

Doctor Notes is intended for use by adults. Children under 13 should not create an account or use the Service on their own.

Parents or legal guardians may use Doctor Notes to manage and store information about their children (for example, visit recordings and transcripts) as part of family care. We do not knowingly collect personal information directly from children under 13. If we learn that a child under 13 has created an account or provided personal information directly to us, we will delete that information.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you via the app or email before those changes take effect.
